How does it work?
Securely capture client cards with Kitomba Pay
When booking through your online booking system, clients enter their card details and agree to your cancellation policy to secure their appointment. Their details are encrypted and stored securely with PCI DSS Compliance and 3DS 2.0 authentication, protecting both your business and client relationships.
Set up your cancellation fee once
Add your cancellation fee in Kitomba 1 once, and Kitomba will automatically calculate what charge a client needs to pay if they cancel within the notice period.
Charge fees automatically
When an appointment is marked as “Cancelled” or “No-show” within your cancellation fee notice period, Kitomba 1 will prompt your team to charge a cancellation fee. Once charged, the system will create an invoice, charge the card, and email the receipt – maintaining professional client relationships even when handling difficult situations.
Track your charges easily
All cancellation charges from both online booking and in-person appointments appear in your Kitomba 1 reports, so you know exactly how much revenue you’ve protected.

This feature is available on the Diamond package. You’ll also need to be using Kitomba Pay for online payments; if you haven’t, sign up here to enable Online cancellation fees.
