What is Kitomba Pay?
Kitomba Pay is an all-in-one payment solution for salons, spas and clinics that integrates with Kitomba Salon and Spa Software. Comprising two main features, Online Payments for taking deposits for online bookings and selling vouchers online, and stylish Point-of-Sale Terminals for easily accepting payments from anywhere in your salon, Kitomba Pay is designed to help you streamline the payment process for you and your team and provide an exceptional client experience.
Phase 1 of Kitomba Pay includes Online Payments and Point-of-Sale Terminals, and more functionality will be available in the future.
When will payments be made into my bank account?
Kitomba Pay provides next-business-day net settlement for transactions, which means funds will be paid into your nominated bank account the next business day. Net settlement means the transaction fees are subtracted from the funds before they're deposited into your bank account. Funding will not take place on weekends or bank/public holidays when banks are closed. You will see all online transactions in your Kitomba Pay portal in real time.
How do I get started with Kitomba Pay?
Getting started with Kitomba Pay is easy. If you’re already a Kitomba customer and would like a Kitomba Pay Terminal, contact us and a member of our team will be in touch to help you get started.
If you’re interested in Kitomba Pay Online Payments, you can sign up now by filling out the application form.
All you will need for your application is:
- A form of I.D, such as driver’s license or passport.
- Proof of trading address.
- Proof of bank account.
- Average transaction size and annual turnover.

How long does Kitomba Pay take to set up?
After submitting your application form it will take up to one week to get approved and set up with Kitomba Pay so you can start taking online payments.
Which countries is Kitomba Pay available in?
Kitomba Pay is currently available to all Kitomba customers based in Australia and New Zealand. However, features will differ between countries.
Can I apply a surcharge to terminal transactions?
Yes. You can choose to apply a surcharge to EFTPOS, Mastercard, VISA, AMEX* and Diners* card transactions. The surcharge can be a set fee and/or a percentage of the total transaction and can be added during the Kitomba Pay application process. Please note that surcharges applied will cause inaccuracies in Kitomba Reports, as the surcharge is applied to the transaction, not the products/services.
*AMEX, Diners, Afterpay and Zip Pay surcharges are as stated by the provider and do not acquire Kitomba Pay surcharge fees.
How do I set up Afterpay for my Kitomba Pay Terminal?
To enable Afterpay acceptance on your Kitomba Pay Terminal, you must first receive your Merchant ID (MID) from Kitomba Support. Once you have your MID, you need to submit a request with Afterpay to register with them here. The request type is "help with integration". You will need to provide your active MID to Afterpay and they will complete the set-up of your account.

Please note, Kitomba Pay does not currently have Afterpay acceptance available for Online Payments, including online deposits and voucher sales.
What is the fee for chargebacks and retrievals?
The fee for a chargeback is $25 and a retrieval is $5.
What are chargebacks and retrieval fees?
A chargeback is a return of money to a client (cardholder) of a transaction. The chargeback reverses a money transfer from the client’s bank account, line of credit, or credit card, when a transaction is disputed by the client.
A retrieval fee is charged to the customer (merchant) when an issuing bank makes a retrieval request on behalf of a cardholder.
Who are Kitomba Pay’s payment facilitators and processing partners?
Kitomba Pay payments are facilitated by our payment processing partner Vostro. Vostro in conjunction with licensed acquirer Till Payments securely manage the end-to-end payments process across merchants, banks, card issuers and schemes.
Payment Card Industry (PCI) compliance is led by Vectra to help ensure the security of credit card transactions that are supported by Till. Through these payment partners, Kitomba Pay is fully compliant with all transaction and data regulations across Australia and New Zealand, providing a safe and seamless customer experience.
How do I cancel Kitomba Pay?
Kitomba Pay is an open-term contract. If you wish to cancel Kitomba Pay you can do so at any time by contacting our support team.
If you wish to cancel your Kitomba Pay Terminal, contact our team so we can arrange the disconnection and retrieval of your terminal. You will need to provide a minimum of one months’ notice and will be required to pay the terminal rental fee for that month.
